RFID system implementation costs
The cost of using an RFID system is something every business must consider before deciding to invest in RFID solutions – a leading technology in the field of automatic identification. This article breaks down the necessary cost structure of an RFID system, including: hardware costs, software costs, RFID tag costs, and related service costs.
RFID system setup costs
1. Hardware costs
Depending on the user's specific application, the actual hardware structure will vary. However, fundamentally, an RFID system typically consists of three hardware components: a fixed RFID reader/gateway, a handheld or mobile RFID reader, and an RFID printer.
1.1 Price of RFID readers
Fixed or handheld RFID readers are used to record tagged items as they pass through them, so they are always stopped at doorways, conveyor belts, or places where products frequently pass through.
A typical RFID reader is usually mounted on a wall or ceiling and typically supports four to eight antennas. Standalone gateways are used as a time- and cost-effective solution for connecting fixed reader devices in a single unit. An RFID reader typically costs between $2,000 and $4,000.
Fixed RFID readers are typically designed as handheld computers with keyboards, screens, Wi-Fi connectivity, and integrated RFID readers. The estimated market price for such devices ranges from $2,500 to $5,000.
Furthermore, these reader designs are now simpler: they only contain the reader itself, without a screen or keyboard, and are connected to the server via Bluetooth instead of WiFi, due to their lower cost, ranging from 1,000 VND to 2,000 USD.
Depending on your needs and budget, choose the appropriate type of reader. Additionally, there are the costs of the charger and other supplementary expenses to consider.
1.2 RFID Printer Costs
If you use fixed labels, there's no need to install an RFID printer because the labels already have built-in automatic encoding, or they can be encoded manually. If you want to use an RFID printer, you'll have to pay between $3,000 and $5,000 for an industrial-grade printer.
2. Software costs
Software accounts for a significant portion of the cost of using an RFID system. On average, software integrated with an RFID system typically costs between $5,000 and $15,000. This cost depends on the process, as well as the complexity and integration with the user's needs. This makes recouping the investment difficult. However, here are a few things that can help you better calculate this figure.
First, determine the scope of the RFID system you want to deploy. You can expect over $100,000 for an enterprise-wide RFID system with multiple readers and sophisticated features such as the ability to communicate and interact with other devices and management software like ERP, MES, or WMS warehouse management systems.
Another thing to consider is the system's readiness for use. Has RFID already been deployed as a point or platform solution for your business? For small, medium, and task-oriented projects, an RFID system is a reasonable investment. However, if the RFID software is designed to integrate with many other business applications, share the same database and control software, and grow alongside the business, then its scope must be realistic.
Finally, and arguably most importantly, determine whether the RFID system will be embedded or if it can be modified during use. Built-in software is often cheaper for businesses in terms of initial investment, but can be costly to upgrade and modify later. Conversely, a traditional RFID system may require a higher initial investment compared to a traditional collection system, but it offers greater flexibility in replacement and repair.
To maximize benefits and minimize the limitations of both methods when building an RFID system, companies today tend to combine them at a ratio of approximately 80% readily available and 20% readily available for later modification to meet current business needs while also ensuring the needs of significant future changes are met.
3. Cost of RFID tags
Currently, the market offers many types of RFID tags with different shapes, structures, and sizes. Since the internal circuitry of most RFID tags is the same, the cost of the device largely depends on how the tag will be attached to the object being tracked. Specifically, RFID tags are divided into two main categories: fixed tags and detachable tags.
RFID tags with adhesive backing are best used on clean, soft, and non-metallic surfaces. These tags are commonly found in bundles using cardboard or paper boxes. The cost of purchasing RFID peel-off tags depends on the size and quantity ordered and typically ranges from $0.15 to $0.40 per tag.
Strong RFID tags are widely used for metal parts or objects requiring chip protection, such as electronic devices. Due to the versatility of packaging materials, durable tags are more expensive than adhesive tags. The price of this type of tag ranges from $1 to $5.
4. Service fees
This cost includes site survey fees to inspect equipment and determine the precise location of readers and antennas, fees for identifying RFID tag types and appropriate tag placement, or installation and system deployment support services. The cost of these services depends on the complexity of the company's RFID system, but typically ranges from $200 to $300 per day.
In addition, businesses should also plan for other related transactions such as project management costs, warranties, security systems, etc.
